“How much does AI cost?” is like asking how much software costs without naming the job. A staff member drafting occasional text, a connected enquiry workflow and a managed assistant with several integrations have different cost structures. A low subscription headline can hide setup, review and ongoing operational work.
For a UAE small business, build the budget around one defined workflow and express the components in AED. This guide provides a cost structure, not a survey of average UAE prices. WH Digital's own stated offer is identified separately from hypothetical examples, and no savings or profit outcome is guaranteed.
Name the outcome before requesting a quote
Specify what the workflow should do, which systems it touches and where a human approves actions. “Prepare staff-reviewed replies to inbound service questions at one branch” is easier to price than “install AI across the company.”
List the expected inputs and exceptions. A public-information assistant differs from one processing identity documents or health data. Extra controls, integrations and review requirements may change the work even when the visible chat interface looks similar.
Ask what happens when the tool is unavailable. A manual fallback, monitoring and clear ownership are part of a functioning operation. Do not compare a demonstration with a supported production workflow as if they were identical purchases.
Separate the five main budget lines
First, identify discovery or audit work. This establishes the scope and priorities rather than delivering the final system. Second, identify implementation: configuration, integrations, testing and handover. Third, identify ongoing management and support.
Fourth, list software licences and subscriptions. Fifth, list usage-dependent services such as model/API processing, messaging or telephony where relevant. The exact categories depend on the design, but the quote should make them visible rather than place everything under one vague AI fee.
Include internal staff effort too. Review time, source maintenance and exception handling do not disappear because an external provider charges a retainer. Keep those costs separate from the supplier's invoice so the owner can understand the total commitment.
WH Digital's stated offer, not a market average
The current draft ladder is a free three-question check, a 2,500 AED AI Ops Audit, optional setup from 6,500 AED (founding clients who agree to a case study: 50% off setup) and 2,000 AED per month for an agreed management scope. The audit fee is credited in full against a subsequent build signed within 60 days of the report.
Implementation is not included in the audit. Software and messaging fees are not assumed included. WH Digital is not registered for VAT. The precise scope, founding-client setup discount (50% off with a written case-study agreement) and credit conditions are confirmed in the proposal. A from price is not a promise that every workflow can be delivered at that amount.
These are WH Digital's offer details, not evidence that all UAE providers charge similar amounts. Do not use them as a benchmark for a legally or technically different project.
A transparent first-year illustration
Suppose, purely for planning, a proposal uses the minimum stated 6,500 AED setup and exactly twelve months of management at 2,000 AED. The arithmetic is 6,500 plus 24,000, giving 30,500 AED before any applicable tax, third-party costs or agreed extras.
That is an illustrative commitment, not a quotation or a required twelve-month contract. If the 2,500 AED audit is fully credited against that build, do not add it again to the combined setup total. Confirm how the credit appears on the actual invoices and whether all conditions are met.
If the business buys only the audit and no build, its stated audit fee remains 2,500 AED, subject to confirmed tax treatment. The example makes the cost structure visible; it does not establish that implementation is worthwhile for your business.
Do not confuse a chat licence with API usage
The ChatGPT Business FAQ explicitly says Business and API-platform billing are separate. Paying for staff seats does not automatically fund an external application that calls an API.
Likewise, Google Workspace's pricing comparison shows plan-dependent features and promotional conditions. Check what is actually included rather than assuming every AI capability is unlimited or available in the lowest plan. Verify Microsoft licensing and usage terms for the exact Copilot configuration proposed.
Ask suppliers to name the service, payer, billing unit and spending control for each dependency. A spreadsheet should distinguish recurring seat costs from variable usage, rather than convert both into an unexplained monthly estimate.
Handle currency and tax explicitly
If a supplier bills in another currency, agree how the AED planning figure is calculated and distinguish it from the amount eventually charged. Payment-provider conversion and tax treatment may differ from a simple planning assumption.
Do not present an introductory foreign-currency price as a permanent UAE price. Record the billing term, renewal basis and date checked. Have the responsible finance adviser confirm applicable tax rather than infer registration from a business address or an old draft invoice.
Keep a contingency visible instead of hiding it inside an optimistic total. The amount and justification should come from the actual risks, not an invented industry-standard percentage.
Ask what monthly management includes
Clarify monitoring, incident handling, source updates, change requests and reporting. Ask which hours and response expectations apply. A monthly fee should not imply unlimited new workflows, round-the-clock human coverage or every future integration.
Define what counts as a change. Updating an opening time is different from introducing a new regulated data source. A useful proposal separates routine maintenance from a material scope expansion and explains how extra work is approved.
Also ask about exit and ownership: who controls accounts, documentation and configurations, and what happens when management ends? A low monthly fee is less attractive if the business cannot stop or hand over the workflow cleanly.
Evaluate benefit without inventing profit
Measure the current process before the pilot. Include time spent sorting, drafting, checking, correcting and handling exceptions. After the pilot, measure the same work rather than count only generated output.
Recovered staff capacity is not automatically revenue or cash profit. It may reduce backlog or improve consistency. Do not claim a guaranteed return by multiplying every saved minute by a sales figure unrelated to the actual business.
The UAE PDPL checklist explains why data handling can affect scope, while the tool-comparison guide helps avoid unnecessary overlapping subscriptions. A checklist or saved reply may remain the cheapest effective option.
Decide with a complete, bounded proposal
Before buying, the owner should understand the task, exclusions, upfront cost, recurring cost, variable charges, internal review effort and stop conditions. If any line is unclear, resolve it before connecting live systems or accepting an annual commitment.
The 2,500 AED AI Ops Audit produces a prioritised plan rather than a promise to automate everything. The free check can suggest a starting task without sending us data. The right budget is the one the business can explain and measure—not the smallest headline attached to the word AI.
The AI Ops Audit is a 2,500 AED review of your workflow, with a prioritised plan. No guaranteed outcomes. Implementation is separate.
