A potential client wants to know whether the firm can help and how to arrange a conversation. A helpful intake assistant can organise that request. A poorly scoped one may invite a detailed disclosure, offer a legal interpretation or imply the firm has accepted instructions before anyone has checked the matter.

For a UAE law firm, the first useful assistant is deliberately administrative. It prepares an enquiry record and a draft acknowledgement for authorised staff. Lawyers and the firm's established processes retain conflict review, legal assessment, deadlines, engagement and advice. This guide is operational guidance, not a statement of professional duties for every UAE legal practice.

Define what intake means in your firm

Map the steps from initial contact to a confirmed engagement. Acknowledgement, conflict information, consultation arrangement and client onboarding are not the same event. Give each a clear status and owner.

A first workflow may stop at a general enquiry category, the prospective client's chosen contact route and a request for the firm's intake team to review. It need not collect the entire account of a dispute. Ask the lawyers what minimum information is appropriate before any deeper disclosure.

Keep scope wording visible: the assistant does not give advice, accept instructions or confirm representation. A warm tone should not contradict that boundary. “Our team will review your enquiry” is different from “we are handling your case.”

Use firm-approved language for the first response

Create a short reference with the firm's approved public service descriptions, office contact details and intake wording. Do not ask a model to describe expertise or outcomes it cannot verify. An area of practice is not a guarantee that the firm can accept a particular matter.

Have the responsible lawyers approve disclaimers and expectations. Do not copy a foreign firm's intake notice and assume it fits UAE practice or the firm's circumstances. The assistant should retrieve the approved version, with a date and owner.

Avoid claims about guaranteed outcomes, certain compensation or how quickly a court will act. Even a generic acknowledgement can become misleading if the model adds an encouraging legal conclusion that nobody authorised.

Keep conflict review outside automated acceptance

A firm's conflict process needs accurate facts and professional judgement. The assistant can flag that review is pending, but should not announce that no conflict exists merely because a name search returned nothing.

Keep names and related-party details in the approved controlled system, with access limited to the appropriate staff. Do not expose a list of existing clients or matters to an enquiry chatbot to make matching easier. The information boundary is part of the design.

If the assistant summarises information for an intake officer, label it as a draft and preserve the source. A misspelled party name or an omitted relationship may matter. Staff must verify the relevant details before advancing the matter.

A person may mention a hearing, notice, termination or urgent filing question. The assistant should route the enquiry under the firm's approved escalation process. It should not infer a legal deadline from a few sentences or assure the person that waiting is safe.

Use a clear internal indicator that the sender described urgency, rather than a model's definitive legal classification. Staff decide how to investigate and respond. An automated “we normally reply tomorrow” should not become advice about a time-sensitive situation.

Do not make a disclaimer do all the work. A paragraph saying “not legal advice” does not make an unsupported deadline calculation appropriate. Exclude the calculation itself from the first workflow.

Protect confidential and personal information

The UAE government's data-protection overview describes controls on personal-data processing, confidentiality and cross-border sharing. Legal enquiries can also engage professional confidentiality and contractual requirements that need the firm's own assessment.

Map every service that may process content: website form, inbox, integration, model, logging and document storage. Ask what is retained, who can access it and where processing occurs. “Not used for training” is one issue, not a complete answer to confidentiality or data-residency requirements.

Use synthetic enquiries for demonstrations. Do not upload real correspondence, contracts or case documents into a convenience assistant before the firm's authorised review. An initial administrative workflow should not need access to every matter folder.

Make consultation arrangements precise

A consultation request is not a confirmed appointment or a legal engagement. The assistant may collect a preference and prepare a task for staff. Any invitation should come through the firm's authorised scheduling process and be reviewed before sending.

State the actual date, UAE local time, location or approved meeting link. If a prospective client is overseas, staff should verify the relevant timezone rather than rely on an ambiguous “afternoon.” Do not invent fees or say that a discussion is free unless the firm's current source confirms it.

Questions about engagement terms, costs or scope go to authorised people. Keep any required conflict or onboarding steps distinct from ordinary calendar availability.

Separate public messaging from private case detail

If a prospective client contacts the firm through a public or social channel, do not invite them to disclose sensitive details in a public thread. Use the firm's approved route for continuing the conversation. An assistant should not repeat the enquiry publicly to demonstrate that it understood.

Where WhatsApp is considered, review the Business Messaging Policy alongside the firm's own obligations. A platform permission does not establish that every confidential document may be processed through a connected AI service.

WH Digital's initial model is human-approved outward communication, with no cold WhatsApp, SMS or calls. The PDPL checklist and tool-comparison guide provide procurement questions, not legal clearance for a firm's deployment.

Test the cases that should stop the workflow

Use synthetic scenarios involving a possible conflict, an urgent date, a person sharing another party's documents, an unknown practice area and a request for guaranteed results. The assistant should preserve the issue and route it, not turn a plausible explanation into advice.

Measure unsupported claims, unnecessary data collection, missed escalations and staff review effort. Do not describe faster enquiry preparation as increased billable revenue without evidence. A clearer manual intake form may be the safer first improvement.

The 2,500 AED AI Ops Audit maps an administrative process and its boundaries. The free check asks for no case details. A useful legal intake assistant makes the firm's next review easier while leaving acceptance, confidentiality decisions and legal judgement firmly with the professionals.

Start with a plan, not another tool.

The AI Ops Audit is a 2,500 AED review of your workflow, with a prioritised plan. No guaranteed outcomes. Implementation is separate.
