A gym enquiry often begins with a price and ends with a policy question. Can a member freeze a plan? Does a joining offer apply to an existing customer? Can a class be booked without a membership? A chatbot that invents friendly exceptions can create disputes even when it answers instantly.
For an Abu Dhabi gym, the first useful assistant is a controlled membership-information workflow. It finds the current approved terms, prepares a response and routes exceptions to staff. It does not approve a cancellation, take a payment or make health recommendations. The focus is consistent information rather than automated selling at any cost.
Separate prospects, members and complaints
A new enquiry, an existing member's request and a complaint need different handling. A prospect asking about opening hours does not need access to the member database. A freeze request may require an authorised record check. A complaint needs someone accountable for a response.
Create clear categories and a named owner for each. The assistant can suggest the category, but should flag uncertainty and preserve the original request. Do not let a generic “lead” label send every message into a promotional follow-up sequence.
Start with one branch and one channel already used for inbound enquiries. This avoids introducing several inconsistent sets of terms at once. Expand only when staff can explain the source and review process for every answer.
Maintain a versioned membership reference
Record the current plan names, published prices, included services, joining conditions and approved payment wording. Keep promotional terms separate from standard membership terms. Add valid-from and valid-to dates so an old offer does not become a permanent promise.
A freeze policy may depend on the member's contract or plan. The assistant should not answer every request from a single internet-style FAQ. Where terms need a record check, prepare a task for authorised staff instead of guessing eligibility.
Use a simple rule: if the answer changes a person's contractual or financial position, a person must verify it. “Our team can review your request under your membership terms” is safer than approving an exception that the assistant has no authority to grant.
Keep class availability distinct from membership access
A timetable describes planned classes; it is not proof that a particular class has capacity. Likewise, a plan including classes does not guarantee a place at the requested time. Keep timetable information, eligibility and actual booking status separate.
For a draft-first pilot, the assistant records the requested class and prepares a reply for staff to confirm. If a later booking integration is introduced, test waitlists, cancellations, instructor changes and duplicate requests. Do not mark a reservation confirmed before the booking system accepts it.
Show dates and Abu Dhabi local time explicitly in staff-approved confirmations. A message about “tomorrow's evening session” can become ambiguous when staff handle it after midnight or forward it to another branch.
Avoid turning fitness questions into medical advice
Members may ask whether a class is suitable after an injury, during pregnancy or with a health condition. Those questions need the gym's qualified staff and approved referral process. A model should not recommend participation or infer that a person is medically cleared.
Do not request detailed medical records in the first enquiry workflow. Collect only the minimum needed to route the question. A useful administrative response can say the appropriate team will discuss suitability without attempting to answer it.
The UAE government's data-protection overview describes controls on personal-data processing, confidentiality and cross-border sharing. A gym conversation can contain sensitive details even if the business is not a clinic. Review the actual data flow before connecting member records.
Make branch differences visible
An Abu Dhabi operator with several locations should maintain branch-specific facilities, opening hours and contact details. Do not assume that a feature at one location exists everywhere. Ask the customer to identify the relevant branch where it affects the answer.
Keep temporary closures and timetable changes in the approved source. Staff correcting one draft while leaving the underlying reference wrong will face the same problem again. Assign responsibility for updating information before each new promotion or timetable period.
For bilingual enquiries, agree the vocabulary for freeze, cancellation, renewal and joining fee. These terms affect expectations. Have competent reviewers compare the Arabic and English meaning, not simply judge whether the text looks polished.
Do not enrol enquiries into marketing automatically
A person asking about a membership has asked a particular question. That is not blanket permission for unrelated campaigns. Record any marketing choice separately and keep a clear suppression process for people who decline further contact.
UAE Cabinet Resolution No. 56 of 2024 addresses telemarketing, including social-media marketing messages. The WhatsApp Business Messaging Policy adds its own permission, opt-out and Platform-template rules. An approved template is not proof of consent or complete local compliance.
WH Digital's starting model excludes cold WhatsApp, SMS and calls. Outward messages are reviewed by a person. This may reduce some of the dramatic promises associated with sales bots, but it makes the authority boundary much clearer.
Build a review screen that saves effort
Show staff the request category, relevant plan or branch, approved source version and proposed reply. Highlight whether the text includes a price, a contractual term or an unresolved question. A draft without this context can take longer to check than writing the answer manually.
A useful review checklist asks: right person, right branch, current terms, no unsupported exception, and appropriate next action. Staff should be able to reject a draft and assign a task without forcing a response.
Do not give the assistant payment authority because it handles membership enquiries. Payment links, refunds and account changes require separately scoped permissions and an approved process.
Test policy conflicts rather than a perfect greeting
Use synthetic cases involving an expired offer, an existing member seeking a new-customer discount, a freeze under an old plan and a class that has just filled. Include a complaint and a request to stop contact. The assistant should identify the relevant uncertainty, not invent a generous answer.
Measure correction effort and unresolved requests, not just generated replies. If most questions have a stable answer and low volume, a better published FAQ or saved-reply library may be enough. The bilingual reply guide explains how to assess language quality without claiming perfect translation.
