A fit-out quote rarely ends when the PDF is sent. Someone asks about an exclusion, the drawings change, another person requests a revised finish and the commercial team needs to know which version is current. A reminder bot that ignores those details can create more confusion than it removes.
A practical AI workflow starts after the quote has been approved and sent by a person. It watches for a response, prepares the next action and keeps the relevant version visible. It does not set margins, reinterpret drawings or promise delivery dates. For a Dubai fit-out business, that boundary protects both the relationship and the commercial position.
Map the quote's lifecycle
Write down your actual stages: enquiry received, site information requested, estimate in preparation, internal review, quote sent, questions pending, revision requested and decision recorded. Use labels the team understands. “Follow up” should not be a bucket containing every unresolved job.
Each opportunity needs a named owner and a reference. Link the sent quotation version and the latest relevant conversation. If the model can see several drafts without knowing which one was sent, it may prepare a response using terms the customer has never received.
Do not begin by extracting every historical proposal. Select one active workflow, such as staff-approved follow-ups for quotes sent through the main sales inbox. A narrow scope makes the exceptions and responsibilities easier to see.
Get version control working first
Agree a consistent quote reference and revision convention. Store the actual approved document separately from working estimates. Mark superseded versions so they cannot silently become the basis for a new message.
A practical record includes the job reference, sent date, version, owner, status, last inbound response and next review date. It can also point to the source conversation without copying confidential project material into every tool. Start with the smallest information set needed to prepare the next action.
If your team cannot tell which quotation is current, fix that before adding AI. A more fluent follow-up cannot compensate for an unreliable record. Version control may be the highest-value improvement identified by a first audit.
Define what stops a follow-up
A schedule alone is not enough. Before preparing a reminder, check whether the customer has replied, rejected the proposal, requested a change or asked not to be contacted. A pending technical question should stop an ordinary “just checking in” message.
Also pause when the quote has expired, the owner has changed or a revision is under review. The correct next action may be an internal task for the estimator rather than an outward message. Make these stop conditions visible so staff can understand why a reminder was or was not prepared.
WH Digital's own model keeps outward messages human-approved. An assistant may suggest a follow-up, but the person responsible reviews the context and decides whether it is appropriate to send.
Keep commercial commitments out of generated text
A model should not offer a discount, extend validity, waive an exclusion or promise a completion date to make a follow-up sound persuasive. Those are decisions, not copywriting improvements. Use the approved document as a reference and route commercial questions to the owner.
Be particularly careful with terms such as “included,” “fixed,” “approved” and “guaranteed.” They can change the meaning of a message even if the rest reads naturally. A useful draft may simply ask whether the customer has questions about the submitted scope.
If quotation drafting is a later project, treat it separately. Extracting an RFQ, matching line items and preparing a commercial document each need controls. Do not expand a reminder pilot into autonomous estimating by accident.
Make the draft easy to review
Show the reviewer the job reference, latest sent version, last customer response and reason for the proposed action. A bare paragraph without this context forces staff to reopen several systems before they can approve it.
A restrained draft pattern is: “I'm following up on quotation [reference/version] for [project]. Please let me know if you would like us to clarify any part of the submitted scope.” The assistant must not fill the placeholders with guessed information. Treat this as a pattern for review, not a message authorised for sending.
Keep the tone consistent with the relationship. Existing customers with an active technical discussion may need a direct answer from their project contact, not a generic sales reminder. Sometimes the best draft is an internal note saying “do not follow up yet.”
Protect project and contact information
Quotes can include names, addresses, floor plans, commercial rates and supplier information. Decide what the assistant genuinely needs and where those materials will be processed. Synthetic examples are sufficient for an initial demonstration.
The UAE government's data-protection overview explains controls around personal-data processing, security and cross-border sharing. Commercial confidentiality may require additional contractual controls beyond personal-data rules. Review both before granting a provider access to project files.
Keep permissions scoped. A follow-up assistant does not need payment authority or the ability to change supplier bank details. Read-only access to an agreed source and a separate draft queue is a more appropriate first design.
Do not add cold messaging as a shortcut
Following a requested quotation is different from importing a list of contractors and broadcasting offers. Keep the original enquiry and any permissions traceable. Do not assume every contact at a company has agreed to receive promotional WhatsApp messages.
UAE Cabinet Resolution No. 56 of 2024 addresses telemarketing, including social-media marketing messages. The WhatsApp Business Messaging Policy has separate opt-in, opt-out and Platform template requirements. Your message purpose and circumstances need review; a template is not a legal exemption.
WH Digital's initial scope excludes cold WhatsApp, SMS and calls. Identifiable, relevant and human-approved communication is the operating principle, not an invitation to send more messages.
Test the exceptions and measure the effort
Include a quote with a reply received that morning, an expired quote, a revision request, a rejected proposal, an opt-out and a duplicate project record. The assistant should avoid preparing an inappropriate chase and make uncertainty obvious.
Measure staff review time, wrong-version drafts, duplicate actions and how clearly next steps are assigned. Do not describe a prepared follow-up as a won job. If a spreadsheet reminder already handles the workflow reliably, AI may add little.
The 2,500 AED AI Ops Audit maps these steps and prioritises an achievable first improvement. The free check offers an immediate starting suggestion without uploading quotations. Keep scope and pricing with people; use the assistant to make the right next action easier to see.
The AI Ops Audit is a 2,500 AED review of your workflow, with a prioritised plan. No guaranteed outcomes. Implementation is separate.
